The role

As a Resource Coordinator, you will support the effective allocation of colleagues across HSO’s customer projects and service lines.

Working closely with the Resource Manager, Project Directors, Project Managers and Team Heads, you will help ensure that projects have the right skills and capacity in place at the right time. You will also work with the recruitment team to provide visibility of current and future hiring requirements.

This is a highly collaborative role that requires strong organisation, clear communication and the confidence to work with stakeholders across the business.

What you’ll do

  • Support the Resource Manager with the allocation of colleagues across projects and service lines.

  • Help ensure project teams are appropriately resourced to begin work at the agreed time.

  • Identify potential resourcing gaps, risks or conflicts and raise them promptly with the relevant stakeholders.

  • Work with Project Managers to understand and respond to changes in project resource requirements.

  • Maintain accurate and up-to-date information on colleagues’ skills, experience and availability.

  • Update resource information to reflect new starters, internal changes and leavers.

  • Review weekly forecasts across service lines to ensure that resource demand is accurately recorded.

  • Monitor utilisation levels and highlight where colleagues may be overallocated or underutilised.

  • Support reporting on resource capacity, demand, availability and utilisation for senior stakeholders.

  • Contribute to forecasting and demand-planning activities using systems such as Microsoft Dynamics 365 Project Operations and other relevant reporting tools.

  • Work with Team Heads to identify suitable people for projects, balancing skills, availability, development needs and location.

  • Help minimise unnecessary travel when considering project assignments.

  • Work with the recruitment team to communicate current and anticipated hiring priorities.

  • Identify opportunities to improve resource-allocation, reporting and demand-planning processes.

  • Provide additional coordination and administrative support to the Resource Manager when required.

What you’ll bring

  • Experience in resource coordination, workforce planning, project coordination, operations or a similar role.

  • Strong organisational skills, with the ability to manage changing priorities and maintain accurate information.

  • Clear and confident communication skills.

  • The ability to build effective working relationships with stakeholders at different levels.

  • A proactive approach to identifying and resolving potential issues.

  • Strong attention to detail and confidence working with data.

  • The ability to balance business requirements with colleagues’ skills, availability and development needs.

  • Experience using Microsoft Excel and other reporting or business-management systems.

Experience within a consultancy, professional-services or project-based environment would be helpful but is not essential.

  • Resource information, forecasts and utilisation data remain accurate and current.

  • Resourcing risks and conflicts are identified early and communicated clearly.

  • Project, service-line and recruitment stakeholders have greater visibility of future resource demand.

  • Allocation processes become increasingly consistent, efficient and data-led.
