Challenge and solution: Finding a purpose-built CRM for the AEC industry

Aguirre & Fields has long been a believer in using CRM technology to better manage their client relationships and new business pursuits. The firm had tried an AEC industry CRM solution in the past, but it was limited in its functionality and the firm experienced significant technical issues getting it to work. Eventually, they abandoned the system and, as a result, they found themselves relying primarily on spreadsheets to track the information. Their data quickly became disjointed and scattered throughout the organization.

Aguirre & Fields knew that the firm needed a viable CRM platform to house all its project and client data in one central location. They surveyed the market for the latest alternatives, and after considering several CRM products, they finally decided on Microsoft Dynamics 365 with the aec360 industry solution from HSO.

Benefits: Increasing efficiency with a single source of truth

aec360 enables the firm to track the full lifecycle of prospects, clients, and projects, from opportunity through project delivery, in a way that is unique to their needs and the AEC industry. It enables them to see all the data in one place, making it easier to review and analyze the statistics of each project. For example, the Marketing department can now run reports or filter views to get specific information needed to respond to RFP requests. Previously, activities like these were all performed manually.

Once in place, aec360 has been acting as the firm’s single source of truth, replacing hundreds of spreadsheets with a comprehensive and integrated marketing and business development platform. The new system integrated with other key applications and tools, including ERP, Power BI, and Open Asset. Having one place to enter data from lead through project completion has made the firm’s processes much more efficient.

For example, data entered at the Lead level can be promoted to Opportunity and then finally converted to a Project, reducing the amount of data entry required. While there is more information that must be completed at each level, the entry is automatically "pushed" through the system to the next level without requiring data to be re-entered.

Plus, aec360 makes data easy to consume. Users at the firm can easily access and view client and project data from customizable dashboards and reports, including real-time KPIs.

“I am extremely pleased with the platform,” said Melissa Simmons, CRM Administrator for the firm. “I am in it all day, every day. It is a great source of information for our project data. The ability to have all the firm’s historical project information at our fingertips has been incredible. We put the information in once and then use that data for the full cycle, from submitting an RFP response through closing the contract and delivering the project. All the way around, it is a vital source of information in a key place, which is huge in building relationships and getting more work.”

This story has just begun for Aguirre & Fields. Future plans include adding a marketing module to expand the lead generation capabilities of the product.

“We are looking forward in our next phase, where Marketing uses data from aec360 to quickly create a project cut sheet,” said Simmons. “This tool will be extremely beneficial to the Marketing group.”

With aec360 in place, Aguirre & Fields now has the tools it needs to expand their client relationships, win more proposals, and continue to grow their business well into the future.  This includes being able to rapidly adapt to future changes in the firm’s business.  “It has proven to be a very adaptable system”, Smith explained.
