We are currently seeking a proactive and well-organized Office and Asset Manager to join our team at HSO. As an Office and Asset Manager, you will play a key role in ensuring that the office runs smoothly and efficiently, while supporting daily operations and creating a professional and well-structured working environment.

Responsibilities: 

 

Office & Administrative Management 

  • Manage and oversee all administrative activities and day-to-day office operations 
  • Maintain office supplies and equipment inventory and coordinate ongoing maintenance 
  • Develop and maintain standard operating procedures for archiving, record tracking, document tagging, and filing systems to ensure effective data and document management 
  • Ensure a safe, clean, and well-organized office environment and collaborate with external stakeholders and service providers 
  • Coordinate travel arrangements, meetings, and appointments for all employees, including tickets and visas when required, and ensure office and travel policies are followed and kept up to date 
  • Act as Data Protection Officer, ensuring personal data of employees, customers, providers, and other individuals is processed in compliance with applicable data protection regulations 
  • Process and distribute incoming and outgoing mail, packages, food orders, marketing materials, and deliveries 
  • Participate in or lead the annual company inventory process 
  • Coordinate and support office events and activities, including meetings, conferences, seminars, team-building events, and procurement of related materials 
  • Greet and assist visitors, providing information and general support 
  • Foster a positive and productive work environment 
  • Maintain confidentiality and handle sensitive information with the highest level of discretion 

 
 
IT Equipment & Asset Management 

  • Oversee the full lifecycle of company laptops and peripheral equipment (procurement, setup, deployment, maintenance, upgrades, returns, and disposal) 
  • Coordinate with IT support teams to ensure timely onboarding, device imaging, and configuration 
  • Maintain accurate hardware inventory using asset management tools 
  • Conduct periodic audits of equipment usage and condition 
  • Ensure devices comply with HSO’s Information Security and ISO/IEC standards 
  • Manage equipment replacements, warranty claims, and vendor communication 
  • Provide first-line support for basic hardware issues and escalate complex cases to IT 

 

Requirements: 

  • University degree or equivalent 
  • Proven experience in an Office Manager, Office Operations, or similar role 
  • Proficiency in Microsoft Office suite, including Word, Excel, and Outlook 
  • Strong organizational and time management skills 
  • Excellent verbal and written communication skills 
  • Ability to work independently and as part of a team 
  • Attention to detail and accuracy 
  • Positive and friendly attitude 
  • Great people and interpersonal skills
