Deploying new technology in your organization can be a daunting task, and planning ahead is critical. Before, during and after the implementation, there a few steps that need to be in place. To help guide you through the process, we’ve developed this checklist as a guideline to ensure a successful implementation process.

Stage 1: Preparation

1. Objectives

It is important to first define your organization’s objectives. What does your organization want to get out of the software implementation? You can only get clear results when you define clear objectives.

2. Business Processes

Prior to the start of the implementation, all of your business processes need to be mapped out. This gives you a good overview of the current business process and lets you see how Field Service can contribute to these, ensuring precision and allowing you to identify where your bottlenecks are located.

3. Team

A strong project team is core to the success of your implementation projection. It is best to assemble a project team that is made up of employees from different steps of the process. In addition, individual role assignments within the team need to be clearly communicated. The commitment of the executive board is also crucially important.

4. Users

Prior to implementation, you need a clear overview of which users will be involved in the implementation process and what results it will eventually deliver for those users. This also provides you with the opportunity to clearly communicate to your employees what they can expect from the implementation, even before the process starts.

Stage 2: During the Process

1. KPIs

Determine which KPIs match your specified objectives and which improvements contribute to those KPIs. In specifying the KPIs, it is important that they are SMART (Specific, Measurable, Acceptable, Realistic and Time-based).

2. Communication plan

It is important that a communication plan is developed which outlines in greater detail the benefits that the Field Service solution will provide for the organization. This will encourage more support for the process throughout your company.

3. User Benefits

The expectations formulated in stage 1, step 4, can now be optimized to communicate the benefits to your users and gain buy-in for the new software.

Stage 3: Go-live and Post Implementation

During the third stage, it is important to keep on top of things. In this final stage, more than at any other point, it is important to keep a close eye on the specified objectives in order to finish the implementation successfully. To that end, keep in mind the following points:

–       Provide training and support for employees

–       Double-check the objectives and make sure they are achieved

–       Map out any new preferences that emerged along the way

–       Test, test, and test again

–       Keep evaluating continuously and implement changes whenever and wherever necessary
